Club Policies

Our club has the following standing policies defined:

PREAMBLE
2014-10-02 #1 There are no standing motions in place at Prince George Toastmasters (PGTM) at this time.

2014-10-02 #2 Secretary is instructed to keep a list of standing motions at the start of the minutes binder. This list will be published to the club website as well.

2017-05-11 #2 Easy-Speak is our official club platform for agenda planning, speech and leadership project tracking.

MEMBERSHIP
2015-02-19 #1 Members who miss four consecutive regular club meetings are declared inactive with active status restored at the first regular club meeting that they attend.

EDUCATIONAL PRIORITIES
2014-11-13 #1 All speeches and education sessions delivered at regular PGTM club meetings be based on manual projects in the Toastmasters educational program and that all speeches and education sessions be evaluated in both written and verbal format by at least one Toastmaster in good standing.

2014-11-13 #2 The club accommodate any reasonable request to deliver a formal presentation up until the commencement of the regular meeting by a member of the club subject to the requirements of policy 2014-11-13 #1.

MEETING ROLES
2017-03-30 #1 The Toastmaster of the meeting is tasked with reading speech objectives as part of the introduction of the speaker.

2015-04-16 #1 The Ah Counter buzzes all prepared speeches with the exception of first-time icebreakers or upon prior request of the speaker.

2015-10-15 #1 The Timer is to time Table Topics as follows: green light at 1 minute, yellow light at 1:30, red light at 2:00, with the buzzer sounded at 2:30.

2016-03-03 #1 The following definitions exist in our club policy document:
  • That an optional role on the agenda be designated as one that, by default, does not occur at a regular PGTM meeting. This role may be added at a particular meeting at the discretion of the Vice President of Education (or her designate) based on a specific member request.
  • That a required role on the agenda be designated as one that, by default, occurs at a regular PGTM meeting. This role may be omitted at a particular meeting at the discretion of the Vice President of Education (or her designate).
2016-03-03 #2 The Jokemaster role is designated as an optional role on the agenda.
2016-04-04 #1 The Quizmaster role is designated as an optional role on the agenda.
2016-04-21 #1 The Toast role is designated as an optional role on the agenda.

OFFICER ROLES
2017-01-26 #1 The Club Secretary is instructed to not record the seconders of motions.

All of these policies were enacted during duly noticed business meetings where quorum was at all time present and through a successful majority vote of members in attendance.
